Career Academy of Training, LLC Student Complaint Policy

Student Rights & Complaint Procedures

Career Academy of Training, LLC is fully approved by the Texas Workforce Commission (TWC). Our TWC-assigned school number is S 5320. All programs are also approved by Texas Health and Human Services.

Filing a Complaint

If you have concerns about the school or any of its programs:

  1. Follow the grievance process outlined in the school catalog.
  2. The school ensures that all students receive a copy of the grievance procedures.

If you were not provided this information, please inform school management.

If you are dissatisfied with the school’s response or cannot file a complaint with the school, you may submit a formal complaint to TWC or other relevant agencies/accreditors.

Career Academy of Training, LLC Refund Policy

Cancellation & Refund Policy

Career Academy of Training, LLC follows the Texas Workforce Commission (TWC) Career Schools and Colleges guidelines for cancellations and refunds.

Cancellation Policy

  • Full Refund: Students who cancel within 72 hours (excluding weekends and holidays) of signing the enrollment contract are entitled to a full refund.
  • Early Class Cancellation: Students who cancel within their first three scheduled class days are eligible for a full refund, minus up to $100 administrative fees and any necessary costs for materials used.

Refund Policy

  1. Refunds are based on the scheduled course hours attended through the last date of attendance. Leaves, suspensions, and school holidays are not counted.
  2. The effective date of termination for refund purposes is the earliest of:
    • Last day of attendance if terminated by the school
    • Date the school receives written notice from the student
    • Ten school days after the last day of attendance

  1. For students who do not enter the program after the cancellation period, up to $100 in administrative fees may be retained.
  2. For students who withdraw or are terminated after the cancellation period, refunds are calculated on a pro rata basis: the portion of tuition, fees, and charges for hours not yet attended, up to 75% completion. No refund is due after 75% of the program is completed.
  3. Refunds for books, tools, or supplies are handled separately. Costs for items required for the portion of the program attended may be retained; unused items must be refunded.
  4. Students withdrawing after 75% completion for non-academic reasons may receive a grade of Incomplete and re-enroll within 12 months without additional tuition for the portion not completed.
  5. Full refunds are due if:
    • The student is not accepted into the school
    • The course is discontinued by the school
    • Enrollment was based on misrepresentation by the school

Refunds for Military Service

Students called to active military duty may choose:

  1. Pro rata refund for tuition/fees for the portion not completed
  2. Grade of “withdrawn-military” with the right to re-enroll within one year without additional tuition
  3. Assignment of a final grade if 90% of coursework was completed and mastery of the material demonstrated

Refund Timeline

  • All refunds will be processed within 60 days of the effective date of termination.
